For society reps

Your society console, section by section

StudentMenu gives your society one code. Members add it to their StudentMenu card once, and every restaurant deal you claim lands on it: they show the card at the till. This guide goes through each part of your console: what it's for, how to use it, and the questions reps ask.

The pictures use an example society and example restaurants.

1Signing in

Your console opens with your ordinary StudentMenu account, the one you eat with, so there's no society password to share round the committee. (A committee account made before, with the society's own email and password, still signs in here too.)

Step by step

  1. Go to studentmenu.co.uk/societies and tap Rep sign in, top right.
  2. Sign in with your StudentMenu email and password. On your own phone, leave Keep me signed in ticked (30 days). On a shared or library computer, untick it.
  3. First time? Tap Register your society. Find your society in the Guild list, sign in (or create your account: it needs a verified .ac.uk email), and tell us what you do there.
  4. We check every rep by hand, usually within a day or two. After that, signing in takes you straight to your console.

Common questions

It says “No society yet”.

Your account isn't a society's rep yet. Tap Register your society on that screen and pick yours from the list.

My society shows as taken.

Another rep is verified for it. If that's last year's committee, email the StudentMenu team at fortune@studentmenu.co.uk and we can hand the society over to you.

Can two of us run it?

One rep signs in with their own account. A committee account (a society email with its own password) can sign in on the same page too.

Handing over to next year's committee

Message the StudentMenu team with the new rep's name and their StudentMenu email. Members keep the code; nothing changes for them.

What's on it

  1. This round: how many of your 3 restaurant codes you've used, and when the next slot frees. Claim a code opens the list; once all 3 are used, See your codes opens Deals.
  2. Live now: the deals on every member's card right now.
  3. Waiting: claims and requests a restaurant hasn't answered yet.
  4. Next event: your next social, and whether a restaurant has been asked.
  5. Everything in your console: a tile for each section. Each section has Home at the top, How this works beside it (its part of this guide), and the other sections at the bottom.

Deals lists everything your society has claimed: live, waiting for the restaurant, coming up and past. A claim that's still waiting can be withdrawn there.

Common questions

What's a live deal?

A restaurant code your society holds that is running now. It's on every member's card, and they show the card at the till. Nothing to print, nothing to read out.

Why does a deal say “Coming up”?

It's approved, and goes live when its dates start. A restaurant gets 24 hours' notice of every approval, so a code approved today goes live tomorrow at the earliest.

Will the browser's Back button sign me out?

No. Back goes to the section you were on before. Only Sign out signs you out.

3Claim a code

Put a restaurant's deal on every member's card. Restaurants open codes for societies; the first societies to claim one get it.

Step by step

  1. Open Claim a code. Under Open now is every restaurant code you can claim, with its deal, its round, its dates and how many societies can still take it. Search by restaurant or code.
  2. Tap Claim on the one you want. If a restaurant gave you a code itself, type it in Restaurant code and tap Claim.
  3. Some codes are approved straight away (the code says Approval: straight away, and the console asks you to confirm, because that slot is then used until the code ends); others wait for the restaurant to say yes. In Deals it shows as Waiting for the restaurant, then Coming up, then Live.
  4. An approved code goes live 24 hours later, or when its dates start if that's later, so the restaurant can brief its staff. From then on it's on every member's card by itself.
  5. Changed your mind? Withdraw a claim that's still waiting, in Deals. That frees its slot. An approved claim can't be withdrawn (unless the restaurant has paused its code): it frees its slot when it ends.

Common questions

Why can't I claim this one?

Either your society already holds 3 codes in that round (see the next part), or every place on the code is taken. The list says which.

How long does a deal last?

Each code shows its dates. Most run for a round, and some restaurants set their own. When one ends, its slot frees for another.

Does it cost anything?

No. Restaurants fund the deals. It's free for the society and for members, and members don't need PLUS+.

Does it work if a member goes in on their own?

Yes, unless the deal says otherwise: some are for a table of a certain size, and the code says so (“tables of 4+”).

4Rounds and the 3-code limit

Codes run in rounds: weeks the StudentMenu team sets, such as Freshers or a Society Week, and your console shows each one's dates. In each round your society can hold up to 3 restaurant codes at once, waiting or live, so every society gets a fair go at the best deals.

Your places in each round

How it works

  1. The round card on Home and the top of Claim a code show where you are, for example “Society Week 1: 2 of 3 codes”.
  2. A code takes a slot from the moment you claim it (while it waits for the restaurant too) until it ends, or is withdrawn or declined.
  3. A slot frees when one of your codes ends (the date is shown), or straight away when you withdraw one that's still waiting.
  4. Some rounds carry on into the next one: a code from the first then counts in both. A code a restaurant runs on its own dates counts under “Outside a round”, which has 3 slots of its own, and in any round its dates overlap.

Common questions

We're at 3 of 3. Can we swap one?

Withdraw a claim that's still waiting (in Deals) and claim the one you'd rather have. A live code keeps its place until it ends.

Does the limit count members?

No. It counts restaurant codes your society holds. Your members get every one of them.

5Events

Log your socials. A restaurant asked for a deal then knows what it's for, and your stories and posters tell members where to go.

Step by step

  1. Tap Add an event. Say whether it's At a restaurant or On campus, then give it a name, the date and the start time (UK time), and the restaurant or the room.
  2. Save it. It shows under Coming up.
  3. Ask a restaurant sends a request for it (see Requests). Add a code puts one of your deals on it.
  4. Edit it any time before it starts. Requests still waiting move with it, and the restaurants are told. Once a restaurant has said yes, the date and the restaurant stay as they are. Cancel event closes its requests.

Common questions

Can we ask several restaurants about one event?

Yes. For an event at a restaurant, the first restaurant to say yes books it, and the others are told it went elsewhere. An event on campus can carry a deal from more than one restaurant.

Where do members see the event?

On your stories and posters (Stories & posters) and in your group chat message (Share).

6Requests

Ask a restaurant in Selly Oak for a deal for one of your events: a discount for your social, or a table for your members. They answer on their dashboard, and the answer comes back here and in Messages.

Step by step

  1. Open Requests, or tap Ask a restaurant on an event, or Ask for a deal on a restaurant in Restaurants.
  2. Choose the restaurant and the event (or a date and time), say how many people (6 or more) and what deal you'd like, for example “20% off mains for the group”.
  3. Tap Send request. You can have up to 3 waiting at once, and each needs at least a day's notice.
  4. The answer shows on the request (Accepted or Declined, with the restaurant's note) and in Messages. A request still waiting can be withdrawn.

Restaurants lists every restaurant in the area with a Message and an Ask for a deal button.

Common questions

Why only Selly Oak?

For now requests go to restaurants in Selly Oak (B29), close to campus. Codes from anywhere show in Claim a code.

The restaurant hasn't answered.

Message them from Messages, or withdraw the request and ask another restaurant. A withdrawn request frees one of your 3.

Our plans changed.

Edit the event while its requests are still waiting: they move with it, and the restaurants are told. Once a restaurant has said yes, the date stays. Message them, and the StudentMenu team can move it for both of you.

7Share

Get members onto your society. Your code shows the society code and its QR; Share sends them out: a group chat message, a story picture, the link, the QR and an email.

Step by step

  1. Your code shows your society code (SOC-…) and QR. Members open Society deals in their wallet and enter the code once, or scan the QR or open the join link and tap Join.
  2. In Share, tap Send to your group chat: WhatsApp opens with a ready message and your link. Edit the message first if you like.
  3. Post to your story makes a story picture with your live deals and your QR. In Instagram, add a link sticker with your join link.
  4. Show QR fills the screen for a stand. Print sticker and the A4 and A3 posters are in Your code.
  5. Email opens your email app with a ready message.

Common questions

A member says the code doesn't work.

Usually one of two things: their StudentMenu account doesn't have a verified uni email yet, or they already hold three societies this year. Each student can hold three a year, and joining takes a place for the year. You, as the rep, never use a place for your own society.

Is there a limit on members?

No. Keep the code inside your society: members carry every deal you claim.

8Stories & posters

Instagram stories and A4 posters made from your codes. Each carries your crest and your join QR, so a member can scan it and join.

Step by step

  1. Open Stories & posters and tick up to 3 of your codes.
  2. Choose an event if you like: you then get the event versions too.
  3. Tap Make the stories. Each restaurant you ticked gets its own story and poster, with its storefront and its deal. Each shows as a picture. On a phone, Share opens your share sheet (pick Instagram, then Story) and Save keeps it; on a computer, Download story.
  4. For a noticeboard or your stand, A4 poster (PDF) makes a poster to print. On a phone, then tap Share poster or Save poster.

Common questions

Where does our crest come from?

The crest on file for your society, which the StudentMenu team adds. To change it, email the image to fortune@studentmenu.co.uk. Without one, your society's initials are used.

Can we make one before a code is approved?

Stories are made from the codes your society holds, so claim first. Once a code is approved, it's in the list.

9Members

Everyone who has added your code to their wallet, and when. Remove anyone who shouldn't have it.

  1. Open Members. You're listed too, marked Rep · you.
  2. Tap Remove beside someone and confirm. The society's deals come off their card straight away.
  3. Removed someone by mistake? They're listed under Removed, below your members. Tap Let back in: they can then add your code again.

Common questions

Can someone we removed join again?

Not on their own. Find them under Removed in Members and tap Let back in; they can then add your code again. Nothing changes on their card until they do.

Someone we don't know has joined.

Codes get shared on. Remove them: that's what the button is for.

10Messages

Talk to the StudentMenu team, or to any restaurant. Restaurants read your messages on their dashboard, and their answers to your requests land here too.

  1. Open Messages. The StudentMenu team is first; each restaurant you've talked to has its own conversation.
  2. To start one with a restaurant, choose it under Start a conversation with.
  3. Type your message and tap Send.

Common questions

How fast does the team answer?

Usually the same day. It's the quickest way to reach us about anything: a code, a crest, a handover.

What are the StudentMenu team's notes in a restaurant conversation?

If we change something for you, like moving a request's time, a note says what changed, where both you and the restaurant can see it.
